1. Service
This policy explains how Evair Digital Limited handles information in AI Ops Hub, a private Discord-based office automation service.
2. Information we process
We process the Discord user ID and display name of authorized team members, assigned roles, slash-command inputs, task ownership, approval decisions, task comments, status updates, timestamps, errors, and audit events. Connected business systems may provide product, sales, advertising, inventory, and publishing data needed for approved tasks.
3. Information we do not request
The bot does not enable Discord’s Message Content intent and does not read ordinary team conversations. API keys and account passwords must not be entered into Discord commands or messages. Payment card data is not processed by AI Ops Hub.
4. Purposes
Information is used to authenticate users, enforce permissions, route and execute approved tasks, generate reports, support work handoffs, detect errors, maintain security, and produce a complete business audit trail.
5. Sharing and processors
Information is available only to authorized Evair personnel according to role. Limited data may be processed by Discord and by platform or AI providers required for a specific approved task. We do not sell personal information.
6. Retention
Task and audit records are retained for business continuity, security, accounting, and compliance needs. Credentials are stored separately from task records. Access is disabled when a team member leaves, while necessary audit records remain preserved.
7. Security
We use role-based access, human approval for high-risk actions, isolated credentials, encrypted transport, restricted infrastructure, audit logging, and recovery procedures. No system is completely secure, and incidents will be handled under Evair procedures.
8. Access and correction
Authorized users may ask the AI Ops Hub administrator to review or correct their account information. Audit events may be retained where alteration would undermine security or legal obligations.
9. Changes and contact
We may update this policy as the service changes. Contact the administrator through the private Evair Discord server or visit evairdigital.com.
